As a landlord or property manager, we know that “time is of the essence”, and you want to be informed when your applicant or tenant finishes different parts of the leasing process.
Applications and Background Checks:
We’ll send you an e-mail when your applicant completes the rental application (if ordered) and we will send you an e-mail when reports ordered are completed and ready for viewing.
Additionally, you can always check the status of reports ordered on your Dashboard screen under the Recent Activities table.
Dashboard Statuses:
"Application Sent" - you sent the request for the applicant to fill out a rental application.
"Application Started" - when parts of the application were completed but the application was not submitted.
"Tenant Screening in Progress" - the applicant has begun the screening process. If you think your applicant needs a reminder to complete their screen order, you can send a reminder email from the Applicant Details page. Learn more about the tenant screening process.
"Review Screening Reports" - ordered screening reports are completed, this status is displayed on your Dashboard > Recent Activities Table, next to the applicant's name.
"Review Application" - if you have only ordered a rental application without any screening requests and your applicant completes it, this status is displayed. We will also send you an email.
"New Tenant" - this status appears after you have approved your applicant as a tenant, but his lease start date has not yet been entered in the system.
"Existing Tenant" - tenant with a lease start date in the past.
"Document Sent" and "Document Signed" for each tenant who was sent or signed the lease documents.
"Tenant Payment Center opened" - when your tenant starts his online payment account.
Document signing:
This one is a little different, since the landlord/property manager is an active participant in the lease signing. As the landlord, you are the last person to sign a lease batch, so you will receive an e-mail message telling you it’s your turn to sign. Once you do sign, all parties involved will automatically receive an e-mail with a copy of the signed documents and an audit trail showing who signed, when they signed, and the IP address utilized for the signing.
Additionally, feel free to check the Status Details PDF at the Tenant Details page. (Navigate to the Tenant Details page by clicking on the tenant's name from your Dashboard > Recent Activities Table. Once you are at the Tenant Details page, navigate to the "Executed Documents" tab. Next, click on Status Details button, to pull up a PDF report showing you a trail of who has viewed the doc, signed the doc, etc.)
- If you "Cancel" the document, your tenants will get an email that the signing of the specific document has been canceled.
- We will also send you an email when the tenant refuses to sign the document.
- Once all parties have signed the Lease Documents, all parties get a copy of the signed lease batch emailed to them.
Rent payments:
Here is a list of the events that would generate an automated email to you in reference to rent payments:
- When your tenant creates a Tenant Payment Center account and starts the bank account authentication process
- When your tenant pays rent we’ll send you an e-mail with the name of your tenant who paid, the property address, and the date and amount of the payment. Pro Tip: we also include the estimated date of when to expect funds to be deposited into your landlord bank account! ACH processing= 5 business days.
- When your tenant gets on or off Autopay - automated rent payment on 1st of the month.
- When the rent payment is declined for any reason (mostly insufficient funds), we will send you a copy of the email sent to the tenant informing her that her payment was declined. This is on the 4th business day after the payment was initiated.
- When the rent payment is canceled by the tenant.
- If we are not able to deposit money in your landlord bank account (usually due to an invalid account number in your LeaseRunner account). Please notify us as soon as you have corrected the bank account error in your LeaseRunner account, so we can forward your funds to you.
